Brief description about the position:
As a Property Associate at JLL, you will serve as the primary administrative point of contact for an Office property or portfolio. You will also provide accounting and financial support, maintain positive tenant relations and provide superior customer service. Responsibilities:
This role provides comprehensive administrative support to the General Manager, Assistant General Manager, Chief Engineer, and property teams by managing correspondence, scheduling, and coordination activities that maintain efficient operations. The position oversees all aspects of Prism operations, including work order processing, inspection programs, and the certificate of insurance portal, while collaborating with the Prism team to resolve issues and delivering weekly open work order reports to leadership for review.

The role ensures complete compliance with certificate of insurance requirements for all tenants, contractors, vendors, and suppliers, documenting potential liability incidents and implementing appropriate enforcement procedures. Regular property inspections are conducted as assigned by the GM and AGM, with daily walk-throughs of common areas to monitor the cleanliness and presentation of reception areas, lobbies, and building-managed amenities.

Financial administration includes overseeing accounts payable processes such as invoice coding and vendor W-9 collection, while supporting accounts receivable functions including manual tenant billing. The position manages office supplies inventory, ensuring operational areas and kitchenettes remain properly stocked to maintain seamless building functionality.

Critical property documentation is developed and maintained, including tenant handbooks, team handbooks, emergency response manuals, property websites, contract trackers, and other essential materials. The role coordinates the new tenant welcome and orientation program to create positive first impressions and establish strong relationships from the outset. Vendor contracts are managed as assigned, along with property amenity spaces such as conference rooms and fitness centers.

Building strong community connections, the position partners with onsite and local retailers and dining establishments to highlight promotions, while assisting the TSR with tenant events and community engagement initiatives that enhance the overall tenant experience. Exceptional customer service is provided to tenants through timely responses to inquiries, processing service requests, and coordinating resolution of maintenance issues.

The role supports the property management team with administrative tasks including data entry, document preparation, and maintenance of property records and databases. Quarterly Compliance Excellence Program requirements are completed for the property, and backup support is provided for front desk reception duties and general office operations as needed. Leasing operations receive support through abstracting and tracking lease expirations and renewal options, while tenant directories, emergency contact information, and vendor contact information are regularly updated and maintained. Additional responsibilities include any tasks required to comply with Property Management Agreements, local ordinances, or necessary measures to ensure smooth property operations.

Degrees/Licenses designations:
Bachelor's degree in Business, Real Estate, Communications or related field

Qualifications/Special Skills:
· Advanced written and verbal communication skills with the ability to speak effectively before small groups and interpret operating procedures, safety rules, and technical documentation

· Strong organizational abilities with proven capacity to manage multiple projects simultaneously under pressure while maintaining exceptional attention to detail

· Self-starter who can work efficiently both autonomously and as a collaborative team member, dealing effectively with coworkers and internal clients at all levels

· Ability to calculate financial figures including discounts, interest, proportions, and percentages related to tenant billing and budget tracking

· Proficient knowledge of Microsoft Office/Suite with capability to develop proficiency in property management software and technology platforms

· Flexibility to work occasional hours that may exceed standard business schedules when operational needs require

· Ability to comfortably handle change, make decisions without complete information, and navigate risk and uncertainty in dynamic environments

· Physical ability to sit for extended periods, stand, walk, reach, stoop, kneel, and lift a minimum of 35 pounds as needed for daily operations

· Positive attitude with eagerness to grow within the commercial real estate industry

Minimum years of experience required:
1-2 years of work experience in an office environment, preferably in commercial real estate or property management and/or 1-2 years of work experience in a customer service or customer-facing position
