Brief description about the position:
We are seeking a proactive, detail-oriented Commercial Real Estate Brokerage Coordinator to join our team. This position plays a key role in supporting our brokers by managing administrative functions, assisting with real estate transactions, conducting market research, coordinating property showings, and helping generate new business opportunities.

Responsibilities:
Administrative Functions

• Maintain accurate and organized filing systems for documents and transaction records

• Print marketing materials for tours as needed

• Update property information spreadsheets and databases

• Order and maintain sign inventory with periodic signage audits

• Track listing agreements and expiration dates with periodic listing audits

• Project coordination, calendar management and administrative support as needed

• Collect and prepare information for weekly/monthly activity reports

• Generate alternative marketing materials and information such as Offering Memorandums, Confidentiality Agreements, Lease Abstracts, etc.

Transaction Coordination

• Work on / begin lease analysis and proposal, RFP, and LOI responses

• Assist with managing commercial real estate transactions from listing through closing

• Prepare and review transaction documents and ensure compliance with deadlines

• Track key dates and deliverables throughout lifecycle of each transaction

• Prepare new lease checklist forms

• Maintain completed transaction files in a manner consistent with Iowa Real Estate Commission requirements

• Submit commission invoices and manage the payment process

Market Research & Lead Generation

• Upload, manage and audit listings and all property information on CoStar, CREXI, Catalyst, and the MLS on a regular basis and provide recommendations to increase exposure

• Research local commercial real estate market trends, comps, and property data

• Build and maintain databases of prospective clients, property owners, and tenants

• Build and maintain market building information database

• Identify potential leads through online tools, market reports, and networking opportunities

• Assist in the creation and distribution of email campaign lists

• Work with Director of Marketing to plan and coordinate broker open house and networking events

Showings & Client Support

• Coordinate and attend property tours and showings when needed

• Prepare materials and information packets for client meetings

• Support brokers in delivering a high-quality client experience from first contact to closing

• Pull sales and lease comp reports along with market availability reports for prospects/clients

• Aid in scheduling and preparing tour itineraries for brokers and clients

• Respond to inquiries on listings, track client interactions, and prepare property surveys

Degrees/Licenses designations:
Iowa real estate license preferred

Qualifications/Special Skills:
• Detail-oriented with strong organizational and time management skills

• Previous experience in real estate, property management, or a related administrative role a plus (commercial real estate preferred)

• Proficiency with Microsoft Office, CRM software, Adobe InDesign and Photoshop, and real estate platforms a plus

• Ability to work independently and collaboratively in a fast-paced, team-oriented environment

• Ability to calculate figures and amounts such as commissions, lease rates, proportions, percentages, etc.

• Ability to interpret real estate documents

• Excellent verbal and written communication skills along with strong interpersonal skills

• Ability to identify, analyze, and effectively resolve issues in a constructive way

• Able to adapt and adjust to competing priorities

• Willingness to go above and beyond to provide excellent customer service

• Possess a strong commitment to meeting deadlines

• Current real estate license or willing to obtain within 6 months of employment

• CAD experience a plus
